Build a traceable project record
Give each project a stable identifier and record location, tenure, unit mix, stage, expected availability and evidence date. Separate total planned units from the phase relevant to your delivery window. Add asking terms, concessions and the resulting effective-rent definition where available. Keep confirmed facts apart from broker commentary and your own assumptions. Record unknowns explicitly; an empty delivery field must not silently mean no competition.
Document customer substitution
Imagine a fictional townhome proposal. A nearby apartment building may compete for households seeking space without ownership costs, while distant townhomes may compete through schools or commuting routes. Include both only with a written substitution rationale. If a renamed development appears in another source, reconcile its address and phase before adding it. During the next review, retain the previous status so a postponed opening is visible rather than disappearing into an overwritten cell.
Revisit what the register excludes
A register is a controlled research record, not proof that all supply has been found. Small projects, scattered rentals and informal leasing can remain outside published datasets. Revisit exclusions when customer interviews or fieldwork reveal alternatives you missed. Continue with the submarket boundaries guide to refine the search area, then use the monthly review guide to assign an owner and a refresh rule to uncertain entries.
