Define acceptance early
Ask the appropriate professionals to establish inspection and testing requirements consistent with the contracts and applicable rules. Create a closeout register for warranties, operating manuals, approved records, keys, access credentials and unresolved items. Assign the recipient as well as the provider. Possession of a document does not establish that its contents are accurate or sufficient.
Keep defects visible
Record each observed issue with a location, description, responsible party and verification method. Separate correction from confirmation: a message saying work is finished should not automatically close the item. Coordinate contractual acceptance and payment questions with the relevant professionals. Avoid treating a general checklist as a complete Florida lien or legal compliance procedure.
Practice the operating transfer
Imagine a hypothetical mechanical system passes required testing, but the property manager has no controls training or warranty contact. Plan a documented demonstration and transfer the records before relying on the system in daily service. Keep remaining limitations visible if phased handover is contemplated. Required occupancy authorization, contractual completion and operational acceptance can have different conditions. A clear handover plan connects them without pretending they are the same milestone.
